The Proposal Production Specialist will be a key support member of our national proposal team. They’ll be responsible for producing accurate, compliant proposal drafts and assisting with everyday proposal team operations. Drafts produced by the Proposal Production Specialist will often be provided to other resources for further editing and finalization, but the Proposal Production Specialist will sometimes assist with additional edits and finalization of the initial drafts they produce. This individual will also assist with managing the proposal team’s dynamic project queue, working collaboratively with other production team members and team management to ensure queue coverage and coordinate assignments as needed.

The Proposal Production Specialist will work closely with members of the proposal team and serve as a go-to proposal knowledge resource for executive assistants and word processing teams across the firm.

Responsibilities:

  • Create, edit, and format proposal drafts and other sales collateral in Microsoft Word and PowerPoint with speed and accuracy

  • Assist with managing the proposal team’s project queue including reviewing incoming project support requests, taking the lead on complex requests, clarifying details and timing related to scheduling as needed, and connecting theappropriate resource

  • Support the proposal editing and finalization process for simple projects or during high-volume periods when required

  • Proactively communicate with client service and proposal team members across matters including project deadlines, status updates, and other workflow questions

  • Understand the firm’s service offerings and implement quality control standards related to formatting, writing style, grammar and spelling, and brand look and feel

  • Provide onboarding, mentorship, and ongoing training to junior team members as needed

  • Assist team leadership with monitoring risk and navigating compliance standards, as appropriate

  • Assist with updating and maintaining proposal content, including boilerplate descriptions and resumes

  • Proactively explore and embrace technology and tools used by the proposal and sales teams

  • Other projects as assigned

Qualifications:

  • Bachelor’s degree or equivalent experience required; emphasis in business, communications, or a related field preferred

  • Minimum of 1 year of related experience required; experience in a professional services environment preferred

  • Proficiency in Microsoft Office suite, specifically Microsoft Word and PowerPoint

  • Strong organizational and problem solving skills, and ability to manage multiple priorities and meet deadlines

  • Self-directed professional with strong interpersonal and client-service skills

  • Ability to effectively interact and communicate with employees and leaders at all levels within the firm, displaying good judgment

  • High attention to detail and accuracy; with strong proofreading skills
